Before you quote.

Good estimates begin with a clear picture of the work. Use these prompts during a walkthrough or client conversation.

1. Define the space

  • Record rooms, approximate area, surface types, and current condition.
  • Note restrooms, kitchens, high-touch areas, and any special requirements.
  • Confirm which spaces and tasks are excluded.

2. Agree on the work

  • List the tasks, service frequency, and expected finish.
  • Distinguish initial or deep cleaning from recurring maintenance.
  • Confirm who supplies consumables, equipment, and cleaning products.

3. Understand access and time

  • Confirm service windows, keys, parking, security, and on-site contacts.
  • Account for setup, travel, and equipment handling.
  • Identify hazards and work outside your team’s training or insurance coverage.

4. Put the assumptions in writing

  • State your scope, exclusions, frequency, and payment terms.
  • Explain how changes or extra work will be agreed upon.
  • Keep a copy of the walkthrough notes with your estimate.
